Whatever the event, my experience has shown that it is the facilitation of the event, the manner in which it is presented to its guests delegates, that makes the difference between 'a day out of the office' or a memorable and valuable 'happening'.
Amongst the attendees, a good Facilitator develops accessible relationships where all delegates feel comfortable to have their every question, query or concern attended to. An important factor when you consider they will all be in an unfamiliar venue and many may even be far from home.
For the guest speakers the facilitator will offer clear direction, making sure that they are where they need to be, when they need to be there; ensuring they adhere to their allotted time schedules; introducing them in a compelling manner; offering them a clear point of contact; guaranteeing they feel valued and that they receive a memorable level of attention and service during their attendance.
The conference coordinator can rely on having a partner in the room, enabling him/her to remain objective and free to handle the wider issues of the overall event management, without getting tied into the minutiae of the event delivery.
Further, a great Facilitator will crystallise the key points from each presentation and provide concise speaker summaries, to be distributed to the delegates after the event. Always a valuable asset to the attendee and appreciated by the host company, but a service which, in my experience, is often overlooked.
For the entertainers, the audio visual technicians, the caterers, the security teams and all ancillary service providers to the event, the Facilitator acts, as does an orchestral conductor, to ensure that the perfect harmonies are unlocked from the many components instrumental in making a good set piece "outstanding".
In my experience, these factors, often not fully appreciated, make the difference between a good event and one that is truely memorable. These skills ensure clients receive ‘real value’ and powerful ‘outcomes’ on their overall expenditure. A penny saved here, can cost dearly.
